Privacy Policy VUB Engage

For VUB Engage, we gather and process data – including personal data. VUB Engage is a collaboration between Vrije Universiteit Brussel (VUB) en Go Vocal.

This privacy policy describes the processing of your data and your rights. Data will be processed according to the principles stipulated by the new European General Data Protection Regulation (GDPR) that was enforced on 25 May 2018.

Grounds for processing

The given data processing appeals to informed consent as the grounds for processing. We will use your data to let you participate in the VUB Engage platform.

You can always revoke this permission without needing to state a reason. If you wish to do so, please contact engage@vub.be.

Accountability and processing

The VUB values your right to privacy. Vrije Universiteit Brussel, with registered office at Pleinlaan 2, 1050 Brussel, is hereby apppointed as responsible for the processing of personal data in this application. For questions, you can reach us via: engage@vub.be.

Purpose for processing and data collection

For the participation trajectory that you are part of, we collect personal data from you. VUB is responsible for this processing and the obligation to inform that goes with it. This is why we would like to point out to you that we gather your email-address, name and first name and your input to the platform as part of our purpose, to increase participation at the VUB.

We will not use your personal data for commercial purposes or other purposes then the ones described above. Nor will we share your data with any other organizations.

Who has access to your information?

Go Vocal receives, processes and stores all the data on the platform. These data will only be used to guarantee the operation of the platform.

Data retention

Personal data will be stored at the Go Vocal platform as well as files with submitted ideas and comments that were exported by the Vrije Universiteit Brussel throughout the academic year.

When you submit an idea or comment on VUB Engage by default your name and first name will be visible for other visitors to the platform. At the end of the academic year a number of ideas will be deleted from the platform to keep it clearly arranged. For example, this can be ideas that have already been realised or are too vague to be develop into something more concrete. Some ideas will be retained because the ideas themselves or the feedback they received have informative value for the VUB community. As a submitter of an idea you can always delete it from the platform if you deem this to be necessary.

The exported files and personal data included therein are kept confidentially throughout the academic year. At the start of the next academic year personal data will be deleted from these files. The ideas are kept, but we will no longer be able to tell whose they are.

Your account data on VUB Engage will be maintained until you indicate that you no longer wish to use the VUB Engage platform.

Right to access, rectification and deletion

You can access your data, rectify your data or delete your data under the conditions determined by law. To exercise these rights, it suffices to send your question to engage@vub.be or send a written request to Pleinlaan 9, 1050 Brussels ATTN. VUB Engage. In both cases, add a copy of your identity card that only shows the front side, your name and your ID picture.

Protection and security measures

  • Data are sent encrypted via https to Go Vocal servers that are secured in line with the market
  • Data are treated confidentially
  • Data are only published in a summarized or aggregated way so that reidentification is impossible

Questions, remarks and complaints

In case you have specific questions about your rights concerning the processing of your data, you can also contact the data protection officer of the VUB via dpo@vub.be.

Finally, you also have the right to file a complaint about how your information is treated. This you can do at the Belgian Data Protection Authority who is responsible for upholding the law on data protection:
